The Process

Contact me for a free 30 minute Discovery Call. We will talk about your business needs and what you are hoping to outsource to me. After our call, I’ll collect some additional information to create a quote. If you’d like to work with me after reviewing everything, you’ll sign the engagement letter, and I’ll get started!

You’ll be given access to my Client Portal to securely send me the documents required for me to take over your bookkeeping. We will be in close contact as we set up and start coding initial transactions to your books. Our goal: everything in the right place and legally save you as much as possible come tax time.

From here, you do what you do best: sales, commerce…more time with your family…whatever you want! We take care of tracking your numbers. When you need your financial statements for a bank loan because your business is skyrocketing or for tax preparation, your numbers will be ready for you.

We are based in the heart of the Midwest: Kansas City, Missouri, but we are a 100% virtual bookkeeping firm. You do not have to live near us for us to provide business support to you.

It’s the best! You can live anywhere in the United States, and we are happy to provide services to your business. Everything is stored in the cloud. A virtual bookkeeper simply provides an amazing bookkeeping solution at a much more affordable rate than an in-house bookkeeper.

That is one of the reasons why I always set up a free 30 minute Discovery Call prior to offering any bookkeeping services to a new client. I prefer to give you a chance to get to know me and for me to get a chance to know you and your business first. By the end of the call, we should both have a pretty good idea if we will be a good fit.

Absolutely! I carry Professional Liability Insurance. I take protecting your business and my business very seriously!

I believe every business should have core values that they run on. At Quill & Balance, we insist on Integrity, Honesty, and Confidentiality in everything we do and in the clients that we contract with. We will nickel and dime everything to *legally* keep as much money in your pocket as we possibly can, but we don’t believe in cheating the government. We like to keep things on the up-and-up around here to protect both your business and ours. Likewise, protecting the confidentially of your company is one of the main hallmarks of our business and something we safeguard tightly.

Me either! That’s why I don’t work on an hourly basis. If something goes sideways, needs to be researched, or a phone call needs to be made to straighten something out, I consider that to be part of your monthly service and do not charge you more to fix it. What we agree on ahead of time is what your fee will be.

Plus, bookkeeping is a tax deductible service. I’ll make sure to get the transaction in the correct spot in your books so that you can write it off!

That’s a totally fair question! The way I charge is based on what YOU want as part of your services. Every proposal I put together is customized so that you only pay for what you decide your business needs.

But yes, I hear you! Having a ballpark number is always helpful when contemplating bringing on a professional! My rates start at $250 per month and go up from there based on services requested and complexity of your bookkeeping.

Note: If you are a micro business (meaning you have less than 10 transactions per month), please reach out. I have limited slots available at a lower price point to help businesses that are just getting off the ground because I consider them so important to our communities!

First, we will meet to see if we are a good fit, discuss your needs, and talk about an individualized plan for your company. I’ll draft a proposal and send it over. If everything looks good, you’ll send it back, and I’ll start collecting documents in order to prepare your books. Especially in the beginning, we will communicate frequently over email or the bookkeeping software when questions pop up about transactions in your bank feed or receipts. Depending on your needs, we will meet virtually on a monthly or quarterly basis to go over your numbers and make sure you understand the money flow in your business. At the end of the year, you’ll have beautifully packaged numbers for your tax professional and anyone else who needs them.
